Connected Calls and Deal Chat
How sales calls get attached to HubSpot deals, and how to ask Steve questions about a deal's conversations
Overview
A deal is only as useful as the conversations behind it. Steve attaches the sales calls it has to the HubSpot deals they belong to, shows them from the deals table, and lets you ask questions across all of them at once.
Who it's for: π― Sales Rep Β· π£ PMM.
How calls get attached to a deal
| Route | How it works |
|---|---|
| Automatic | When a call is processed, Steve matches the call's participants to HubSpot contacts and finds the deals those contacts are associated with. |
| Manual | In Sales Calls, open a call and annotate it to a deal. You pick the deal; Steve does the rest. |
Either way, Steve writes the attachment into HubSpot in two forms:
- The
steve_connected_callsdeal property β a JSON list, one entry per call, holding the call's source, its ID, and a URL back to it. Steve reads the existing list first and appends, so the same call is never added twice and previous entries are preserved. - A Call engagement on the deal timeline β titled with the call name, containing a SalesOS Call Recording body with a View in Steve link, and marked as a completed outbound call with the recorded duration where known.
Calls annotated to a company create the same kind of engagement on the HubSpot company record instead.
Removing an annotation cleans up. Switching a call to a different deal, or clearing the annotation entirely, resets the values Steve pushed to the old deal rather than leaving them stranded.
Viewing a deal's calls
In the deals table, the phone icon in the Actions column opens the Connected Calls sheet. The badge on the icon is the call count.
The sheet shows "N calls connected to <deal name>" and one card per call with:
- The call title and details Steve holds for it
- The source it came from β Gong, Grain, Avoma, Outreach, Google Drive, Fireflies, or Sales OS β with its logo
- A link that opens the call: its native URL where there is one, otherwise the call in Steve's Sales Calls
With no calls attached, the sheet reads No calls connected to this deal.
A Chat About These Calls button at the top jumps straight into deal chat with the same set of calls.
Deal chat
The speech bubble icon in the Actions column opens Deal Chat β a conversation with Steve, grounded in the transcripts of the calls attached to that deal.
| Control | What it does |
|---|---|
| Context selector | Shows "N of M calls" and lets you choose exactly which calls Steve should read, with All and None shortcuts. |
| New Chat | Starts a fresh conversation, discarding the current thread. |
| Preset prompts | One-click starters, listed below. |
| Message box | Enter to send, Shift+Enter for a new line. |
The preset prompts are:
- Summarize all the calls for this deal
- What are the key decision criteria discussed?
- What objections or concerns came up?
- What competitors were mentioned?
- What is the overall deal progress?
- What next steps were discussed?
With nothing selected, the panel shows No calls selected β Select at least one call from the dropdown above to start analyzing this deal, and the input is disabled with the placeholder "Select calls to start chattingβ¦". With calls selected it invites you: Ask anything about this deal β Get instant insights from N calls connected to this deal.
Narrowing the context is worth doing. Asking about objections across two discovery calls gives a sharper answer than asking across twelve calls that include renewals and support check-ins.
Why a deal shows no calls
| Reason | What to do |
|---|---|
| No call recording integration is connected | Connect one β Gong, Zoom Revenue Accelerator, Avoma, Fireflies, Outreach, Grain, or Sales OS. |
| The call's participants don't match HubSpot contacts on that deal | Annotate the call to the deal manually from Sales Calls. |
| The call was recorded before the integration was connected | Historical calls aren't back-matched to deals. |
steve_connected_calls is missing from your portal | Use Create missing fields on the HubSpot dashboard. |
