Deal Resources and Insights
Upload URLs, files, and text against a HubSpot deal, and read the AI-extracted insights from them
Overview
Attach the documents that actually explain a deal β an RFP, a security questionnaire, a pricing sheet, a set of meeting notes β directly to the HubSpot deal in Steve. Steve processes each one and extracts structured insights you can read back per resource.
The same tools exist on the Companies tab for account-level material.
Who it's for: π― Sales Rep Β· π£ PMM.
Where: the file-up icon in the Actions column of the deals table. The badge on the icon is the number of resources already attached.
Uploading
The Deal Resources sheet opens with Upload resources for "<deal name>" and three tabs.
| Tab | What to add | Notes |
|---|---|---|
| URL | One or more links | Steve validates the format and refuses duplicates. Add them one at a time; each appears as a removable chip. |
| File | PDF, TXT, or MD | Anything else is rejected with "<filename>: Only PDF, TXT, and MD files allowed". Multiple files at once are fine. |
| Text | A name plus content | For pasted notes or an email thread. Both the name and the content are required. |
Pick a project for the resource if your organization has more than one β with exactly one project, it's selected for you.
Click Upload Resource. Files upload directly to secure storage rather than through Steve, so large PDFs don't stall. A toast confirms "Resource uploaded successfully".
Validation messages you might hit:
- Please enter a valid URL Β· URL already added Β· Add at least one URL
- Select at least one file
- Enter some text content Β· Enter a name for the text resource
The resource list
Below the upload form, Uploaded Resources (N) lists everything attached, each with its type badge β URL, File, or Text β and a delete control. Deleting shows "Deleting resourceβ¦" then "Resource deleted".
With nothing attached it reads No resources uploaded yet.
Reading the insights
View Insights opens Deal Resource Insights β AI-extracted insights from uploaded resources.
Each resource becomes a card showing its type icon, its name, and a badge with the number of insight sections found. Expand a card to read the sections; nested structures are rendered as indented lists so a section like pricing or decision criteria stays readable.
Before processing finishes, the sheet reads No insights available yet. Upload resources and wait for processing to complete.
Regenerating with your own prompt
The default extraction is general-purpose. When you want something specific β only pricing, only competitor mentions, only security requirements β regenerate.
| Control | What it does |
|---|---|
| Regenerate (per resource) | Re-runs extraction on one resource. Only available once that resource has finished processing. |
| Regenerate All | Re-runs every completed resource. |
| Regenerate (N) | In selection mode, re-runs just the resources you ticked. |
| View/Edit Prompt | Opens the extraction prompt so you can change it, e.g. "Focus on pricing and competitor mentions". |
| Save as Default | Stores a default prompt used for all future extractions, e.g. "Focus on decision criteria and objections". |
Regeneration is asynchronous β "Insights regeneration started" confirms it kicked off, and the results replace the old ones when processing finishes.
Deep links
The resource and insights sheets write their state into the URL, so /hubspot?dealResourceId=<id> and /hubspot?dealInsightsId=<id> open the deals table with that panel already showing. Useful for pointing a colleague at one deal's uploads.
Company resources
The Companies tab has the same two controls β Upload Resources and View Insights β working identically, but scoped to the company record rather than a single deal. Use deals for deal-specific material and companies for anything that applies to the whole account.
