How Calls Are Imported

The Zoom Revenue Accelerator sync window, deduplication, AI summaries, and what happens to each conversation on the way into Steve

Overview

Once Zoom Revenue Accelerator is connected, Steve pulls conversations in the background. You don't schedule anything or press a button — this page explains what runs, when, and what each conversation turns into.

The date window

The range Steve looks at depends on whether it has imported anything for your organization yet:

  • First import ever — Steve backfills the last 3 months of conversations. This run is the slow one.
  • Every run after that — Steve only looks back 1 day. Enough to catch calls that finished since the last sync, without re-reading your whole history every time.

A consequence worth knowing: if the integration is disconnected for a week and then reconnected, the calls from that week fall outside the 1-day window and will not be back-filled, because your organization already has Zoom RA calls on record.

What happens to each conversation

For every conversation ZRA has processed, Steve:

  1. Checks whether it already has it. Conversations are matched on their Zoom conversation ID, so a call is never imported twice — reruns are safe.
  2. Fetches the participants and their transcripts. ZRA returns the transcript nested inside each participant rather than as one timeline, so Steve flattens them into a single list and sorts it chronologically.
  3. Tags each participant. The rep on the call is marked Internal; everyone else is External.
  4. Generates an AI brief and key points from the transcript, in your organization's language.
  5. Saves the call and stores the transcript, ready to read and search in Sales Calls.
  6. Classifies the call as Customer or Internal, and links customer calls to matching CRM deals if you have a CRM connected.
  7. Queues it for competitor detection, which produces the insights covered in Competitive Insights.

What Steve records for each call

One bad call never breaks the batch

Conversations are processed independently. If Zoom fails to return the transcript for one conversation, that call is still imported — with an empty transcript — and every other conversation in the batch continues normally. The same is true of the AI summary: if it fails, the call imports without a brief.

That's why an occasional call with no transcript or no brief is not a sign the integration is broken.

Why a call might be missing
